Folders & rules

Folders and filtering rules are managed together from webmail's Folders & rules page, linked in the sidebar.

Creating folders

Give a folder a name, or nest it inside another using "/" - for example Work/Projects creates a "Projects" folder inside "Work". Folders can be renamed or deleted from the same page; the system folders (Inbox, Sent, Drafts, Junk, Trash) can't be renamed or deleted.

Creating a rule

A rule matches incoming mail against a single condition and, on a match, files it straight into a chosen folder instead of the inbox:

  • From contains - matches against the sender address.
  • Subject contains - matches against the subject line.
  • Body contains - matches against the message body.

For example, a rule matching From contains invoices@supplier.com, moved to a folder named Suppliers, files every message from that address straight into that folder as it arrives.

Rule order matters

Rules are checked in order, top to bottom, and the first match wins - a message only ever moves into one folder. Use the up/down arrows next to a rule to reorder it, and the toggle to pause a rule without deleting it.

Rules never override spam and authentication checks

Mail that's already been routed to Junk by spam scoring or a failed DMARC/SPF/DKIM check is never rescued by a filtering rule - rules only ever apply to mail that was headed for the inbox in the first place.
